When we look around us and far fewer people are negotiating unwieldy newspapers opting instead to read their news via a smartphone or tablet. Get off the train and the sea of commuters are much more likely to flow through the barriers with the swipe of a smart-card while electronic check-in at airport becomes popular. Even in offices paperless meetings are conducted in digital rooms that provide tools and online document repositories to simulate face to face meetings through different computer devices.
With this in mind, here are some insights on how paperless meetings can help the office and environment, remote access provides green accessibility. Imagine you’re stuck in traffic and you have a meeting in five minutes. The meeting is paper-based and restricted to participants only with no secretaries; therefore you have to be there to participate. If the meeting was paperless, then the administrators could’ve set a digital meeting room and you could’ve joined remotely. Paperless meetings provide remote access for users to participate in meetings anywhere and everywhere. This also helps in decreasing energy usage in paper production and save fuels because people doesn’t need vehicles to travel for meeting.
Paperless meetings use an online digital storage to keep track of the documents needed for meetings. This ensures each participant has access to the files that support the contents of the meeting. Online document storage also lessens the need to constantly produce physical copies. Employees can easily download and update documents without thinking of paper-related problems such as printing, supply, and physical storage. The budget for paper can be used for another project while the office reduces its carbon footprint.
A ton of paper creates six months’ worth of carbon emissions, this means that we are producing a lot of carbon every time we process trees to create paper. Recycling paper sounds like a good way to lessen carbon emission but it has a limit of five to seven recycling times before its fibers wear out. On the other hand, paperless meetings don’t have that kind of limitation and can easily produce a reusable and update-able medium.
 Offices are still using paper because of its familiarity and basic physical storage.  But beyond that, it’s just a bulky, hard-to-maintain office resource especially during the time of office relocation. Climate change, global warming, and melting of the polar ice caps are effects of excessive carbon emission in our planet. If we don’t do our corporate social responsibility, our environment will suffer and we will eventually feel its catastrophic effects in future. Paperless meetings can easily decrease the amount of paper use because of software implementation and can be easily implemented that lets users see and feel the benefits of using digital board portals. So let’s get out of old paper town and make the most of new age technology.
